1. Scope and responsibility
AI-CAI Tutor is an adaptive teaching and learning platform designed for schools, colleges, training programmes and individual educational use. The platform supports curriculum delivery, lessons, assessments, AI-assisted tutoring, progress tracking and teacher oversight.
This policy applies to the AI-CAI Tutor website, progressive web app and packaged mobile apps. A school or other institution using the platform may also have its own privacy notice and may determine how learner information is used within that institution. Questions about the platform's privacy practices may be sent to eadraki@gmail.com.
2. Information we collect
Account and profile information
- Name, email address, selected role, student ID or staff ID.
- A securely hashed password when email-and-password registration is used.
- An optional profile image and account creation information.
- Account approval status, approval time and related administrative records.
Google account information
When Google sign-in is selected, the platform receives the user's verified email address, name and Google account identifier. Google may also provide basic profile information such as a profile picture. The platform does not receive the user's Google password.
Learning, teaching and assessment information
- Course registrations, lesson activity, completion records and learning progress.
- Quiz attempts, answers, scores, assignment submissions, grades and teacher feedback.
- Curriculum files, lesson materials, attachments and other content uploaded by authorised users.
- Platform-generated performance summaries and indicators used to support teaching decisions.
AI interactions
Questions submitted to the AI tutor, generated answers, lesson context and associated technical records may be stored. AI-assisted curriculum, assessment, image, audio or video requests may also include prompts and educational content supplied by an authorised teacher or administrator.
Technical information
The platform uses session cookies to keep users signed in and may record standard server information, including request times, browser or device information, network addresses and error logs. The progressive web app may cache public application files on a device and may keep lesson-interface preferences in local storage.
3. How we use information
Information is used to:
- Create, authenticate, approve and administer user accounts.
- Deliver lessons, assessments, feedback and AI-assisted educational features.
- Record progress and present learning information to the learner and authorised educators.
- Help teachers identify incomplete work, inactivity or areas where support may be needed.
- Protect the platform, investigate faults, prevent misuse and maintain service reliability.
- Comply with applicable legal, safeguarding and institutional obligations.
Platform scores, progress indicators and AI outputs support educational decisions. They should be reviewed by qualified educators and should not be treated as a guaranteed measure of learning improvement.
4. Google sign-in
Google sign-in is optional. It is used to verify identity and to create or connect an AI-CAI Tutor account. New users must still select an educational role, provide the applicable student or staff ID, and wait for administrator approval before the account becomes functional.
AI-CAI Tutor uses Google account information only for authentication and account association. It does not request access to Gmail, Google Drive, Google Calendar or the contents of other Google services. Use of information received from Google is subject to the Google API Services User Data Policy.
5. AI-assisted features
Selected prompts, questions, lesson material or assessment content may be transmitted to an enabled artificial-intelligence service so that the requested feature can operate. Current system components can use OpenAI services for tutoring, moderation, content generation, speech, images and embeddings, and may use an enabled media-generation provider for lesson media.
Users should not enter unnecessary personal, confidential or highly sensitive information into AI prompts, assignment text or tutor conversations. AI responses can be incomplete or inaccurate and should be checked by a teacher or other responsible adult when the context requires it.
7. Data retention and deletion
Account, learning and administrative information is retained for as long as it is reasonably needed to provide the platform, maintain academic or operational records, resolve disputes, protect the service, or meet institutional and legal obligations. Retention periods may differ by record type and participating institution.
To request account or personal-data deletion, email eadraki@gmail.com from the address connected to the account. The administrator may request identity verification. Some information may be retained where required for security, legal, safeguarding or legitimate academic-record purposes. Residual copies may remain in backups for a limited period before routine deletion or replacement.
8. Children and young learners
AI-CAI Tutor is intended for use across educational levels and may therefore be used by children and young people. A minor should use the platform only under the authority and supervision of the responsible school, teacher, parent or guardian, as applicable. The responsible adult or institution must provide any notice and obtain any consent or authorisation required before creating or approving a learner account.
Users should avoid placing a child's unnecessary personal information in free-text fields, uploaded work or AI prompts. Concerns about a minor's information should be reported promptly to eadraki@gmail.com and to the responsible educational institution.
9. Your choices and rights
Subject to applicable law and institutional responsibilities, a user may ask to access, correct, restrict or delete personal information, or object to particular processing. Profile information can be reviewed and corrected from the user's profile where that option is available. Google sign-in can be avoided by using an approved email-and-password account.
Requests should be sent to eadraki@gmail.com. If an institution controls the relevant educational record, the request may be referred to that institution for action.
10. Security, changes and contact
The platform uses measures such as encrypted web connections, password hashing, session controls, administrator approval and role-based access. No online service can guarantee absolute security. Users should protect their passwords and devices and report suspected unauthorised access promptly.
This policy may be updated when the platform, service providers or legal requirements change. The effective date at the top of this page will be revised when material changes are published.
